Data Management Tools Assessment

Assessment Instructions

1. In order to undertake the assessment you will need to copy a computer file onto your OneDrive or M: drive. The Preliminaries section of the assessment sheet indicates what this file is called and where to find it; although you may already have a copy of it if you undertook the formative learning material. If you do not already have a copy of the file, follow the instructions below to copy it to your OneDrive or M: drive.

•    Go to the Digital Literacy for Business - Data Learn space.

•    Open the Formative  Learning Example File folder under the Data Management Tools learning topic of the Learn space.

•    Select the file and save (not open) it to your OneDrive or M: drive.

2. The file contains a database that you need to make modifications and additions to. These tasks are outlined in Parts 1, 2 & 3. Follow the specific instructions on the assessment sheet for each individual task. Parts 2 & 3 also require  the creation of a PDF file of the results.

3. At the end of the assessment you will have three computer files: The Northwind database file and two PDF ones (one each for Parts 2 & 3). You must submit all three  files to the specified submission links in the Data Management Tools Assessed Assignment folder under Assessment on the course Learn space.

Preliminaries

Northwind Traders

The database you will be using in the assessment exercises  is  the  Northwind Traders database. This database contains sales data for a fictitious import/export company that sells speciality food from around the world. The filename is Northwind.mdb.

1.   If you have not already done so, you will need to copy the file Northwind.mdb from the Formative Learning Example File folder in the Data Management Tools learning topic onto your OneDrive or M: drive.

2.   Start Access and open your copy of the Northwind.mdb file.

Part 1 - Creating a query in Design View

1.   Construct a query in Design View that will show a list of contacts from the Customers table for companies in Brazil. The query should show the Contact Name, Company Name, City and Phone fields and be in alphabetical order of Contact Name. The query should also not display the Country field.

2.   Save the query as Contacts Query followed by a hyphen (-) then your examination number. Run the query and check the results.

3.  Adjust the column widths to best fit and check in Print Preview that the datasheet view fits on one page in portrait orientation.

4.   Resave and close the query.

Part 2 - Creating a form using the Form. Wizard

1.   Use the Form. Wizard to create a columnar format form using the Employees table, and showing the fields EmployeeID, FirstName, LastName, Title, City, Country, and HireDate.

2.   Give the form the title Date Employee was Hired followed by a hyphen (-), then both your given name and family name.

3.   Use the form. to add a new record showing the following information:

a. Your given name and family name in the First Name and Last Name fields respectively.

b. The text Student in the Title field.

c.  The text Edinburgh in the City field.

d. The text Scotland in the Country field. e. Today's date in the Hire Date field.

4.   Save the form as a PDF file, but showing only the record that you have just added. The file name should be Date Employee was  Hired followed by a hyphen (-) then your examination number.

Part 3 - Creating a report using the Report Wizard

1.   Use the Report Wizard to create a stepped report using the Customers table that gives you a list of contact  name, contact  title and phone number for  each Company, grouped together by Country.

2.  Within the country groupings, sort alphabetically on Company Name.

3.   Give your report the title Customer Contact  List followed by a hyphen (-) then your examination number.

4.   Save the report as a  PDF file, showing only the first page. The file  name should be Customer Contact List followed by a hyphen (-) then your examination number

Final Steps

Rename your database file for submission.

1.   Click on the File tab, then select Save As.

2.   Ensure that Save Database As is selected, then click on the Save As button to select a disk drive and folder into which to save the file.

3.   Now click at the end of the writing in the File name: box and add a hyphen (-) then your examination number to the end of the file name and click on Save.

Before submitting to Learn, you need to ensure that the Northwind database file is closed and that you have also exited and closed Access itself, otherwise you will get an error when you attempt to submit the file.

•   Submit your Northwind -  database file to the Data Management Tools Assessment  Submission link in the Data Management  Tools  Assessed Assignment folder in the Assessment folder on the course Learn space.

•   Submit the PDF file of the Date Employee Was Hired form. to the Form Task Submission link in the Data  Management Tools  Assessed Assignment folder in the Assessment folder on the course Learn space.

•   Submit the PDF file of the Customer Contact List report to the Report Task Submission link in the Data Management Tools Assessed Assignment folder in the Assessment folder on the course Learn space.
